MRGN Connect is a Belgian software company that specializes in generative thermal design. Through a combination of AI and generative design, our software is capable of designing, analyzing, and optimizing heat sinks and cold plates with extreme speed and efficiency. These applications are widely used in innovations all around the globe, ranging from electric vehicles to consumer electronics and power applications. With a focus on heat transfer, the cooling components generated from our software are made to cool the high-powered tech of today and tomorrow.
Responsibilities
Your primary responsibility is to oversee and support all administrative duties in the office and ensure that office is operating smoothly.
Some of your duties include:
- Overseeing day-to-day operations to ensure a smooth and productive work environment
- Managing office supplies, equipment, and maintenance to guarantee optimal functionality
- Providing administrative assistance to the management team
- Assisting the sales and marketing team
- Preparing personnel files and payroll administration
- Following-up on invoicing and insurance files
- Handling incoming inquiries and correspondences with professionalism
Profile
- You are in possession of a master’s degree, a few years of work experience is a plus
- You have excellent knowledge of the Dutch and English language
- You have excellent knowledge of MS Office, in particular Word, Excel and PowerPoint
- You are well organized and can work independently and accurately
- Knowledge of HR is a plus
- Beslissingen, dienstnota's, contracten behandelen en doorgeven, zowel intern als extern
- Professionele informatie en reglementering bijwerken
Documenten archiveren en klasseren - Personeelsdossiers administratief opvolgen
Aanwervingen en opleidingen logistiek organiseren - Brieven, verslagen, nota’s, ... opstellen en redigeren
- Uitvoeringsvoorwaarden van onderhoudscontracten van kantoormateriaal, technische keuringen van voertuigen, ... organiseren en opvolgen
- Afspraken en planning van een verantwoordelijke of een medewerker organiseren
Telefonische oproepen en bezoekers filteren - Vergaderingen voorbereiden en organiseren (uitnodigingen, voorbereiding van de dossiers, reservering van zalen, ...)
- Materiaal, toebehoren en verbruiksgoederen bestellen
De leveringen controleren - Dossiers behandelen en opvolgen (samenstellen, samenvatten, bijwerken van bestanden, ...)
- Verplaatsingen van de verantwoordelijke of van teamleden organiseren
- Documenten ingeven, briefwisseling behandelen en e-mailberichten beheren
- Communicatieacties en evenementen plannen en organiseren
